The Ultimate Endodontic Scheduling System
An Endodontic specific, nuts and bolts approach to developing, implementing and maintaining an efficient and consistently productive schedule while reducing stress.
Since 1997 Dr. Ace Goerig and I, Todd Holmes, have been working with Endodontic practices across the United States and Canada. The material in this scheduling system is the result of my personal, one-on-one experience with over 165 Endodontic practices combined with the actual scheduling techniques used in Ace's practice.
This is the first time that this comprehensive scheduling material has been offered in written form. It's the key to a consistently smooth running, stress free practice.
It is truly one of a kind and, when implemented, it can mean hundreds of thousands of dollars of increased production over the life of your practice, not to mention a dramatic reduction in stress!
I want to help you realize a schedule that will help you produce to potential while reducing stress! Any practice, no matter how long in business, can benefit from this material! Even minor tweaks in the Endodontic schedule can lead to dramatic results!
Doctor:
· Have you ever taken a step back to look at your practice's true potential?
· Do you know what your front staff is saying to patients and referring offices during the scheduling process?
· Do you know what they should be saying?
· Is your staff using "Specialist Mindset" when scheduling or are they letting your patients and referring offices control your book?
· Do you have holes in your schedule today but appointed patients later in the week? You shouldn't have!
· Is your staff properly pre-diagnosing patients before they are scheduled, eliminating the need for you to evaluate every patient before they are scheduled for treatment?
· Is the non-treatment side of your book out of control?
· Is your front staff controlling your schedule or is the schedule controlling you?
· Are you having too many cancellations and no-shows?
· Do unscheduled emergencies create stress for you and your staff?
· Has your schedule been built around the way you want your day to flow or is the flow of your day inconsistent or oftentimes hectic?
· Do you and your staff know how to create flow and communication around your schedule in order to take schedule related stress out of your day?
· Do you know how much clinical time you lose each day due to inefficient scheduling and inadequate day to day management of the schedule? Based on my personal observation experience, on average, Endodontic practices lose 2 hours of clinical time per day. Identify and eliminate the lost time and put $1,000 to $2,000 more in your pocket each day without working harder!
The information in this comprehensive scheduling material helps you address these issues and more.
Don't like to read Doctor? The written material in this scheduling system, nearly 75 easy to read and understand pages, is accompanied by CD's for listening and reinforcement.
Here's what's covered in this written and recorded material:
-
Discovering true practice potential. Once you see how attainable true potential is, you will wonder why you never saw it before. One additional case completed per day means $4,000 to $5,000 more per week. Most doctors don't realize that they already have the time to do this without working longer or harder.
-
Understanding "Specialist Mindset". A must for every Endodontic scheduler, yet one that I rarely see in the offices that I work with. Once it is understood and implemented, the whole scheduling process will improve and your front staff will be prepared to handle every situation that comes up.
-
Creating the schedule. Includes all of the tools needed to schedule an Endodontic patient efficiently. Extensive verbal skills are included to help your scheduler tweak what is currently being said to patients and referring offices or to help your new scheduler learn it right from the get-go. Doctor, know what should be said and don't let your front staff person say they are already saying it. My experience has been that they aren't! If they were, you wouldn't be looking at this material.
-
Understanding and implementing true office flow. This section includes information dealing with ensuring patient on time arrival, the dental assistants preparation of the patient, proper transition between patients, the half hour rule that will ensure that you stay on time and ongoing communication between the front and back that is essential in dealing with day to day schedule changes. Flow around the schedule is non-existent in most offices that I work with. Get the flow down and your days will be stress free while you produce more in less time.
-
Daily schedule management. Includes verbal skills and the proper procedures to handle the following scheduling situations, just to name a few:
The proper verbiage and techniques for confirming. Want to minimize cancellations and no-shows? Use this technique.
Filling a hole in the schedule due to a cancellation or no-show. If the proper tools and verbal skills are in place, you will minimize the loss of these $1,000 appointments.
Handling recently completed patients that call complaining of soreness. Is your front staff screening these calls so these checks are not unnecessarily showing up in your schedule, creating stress and costing you production?
How to handle an emergency from a good referrer that needs to be scheduled on top of an already full book. If properly handled, these cases can be a great marketing tool and can scheduled so they can be completed without stressing the doctor and the staff.
How to deal with a patient late for their appointment. This patient has potentially cost you a completed case. The appointment slot can be saved and the patient can be handled so that they don't feel put out.
How to deal with a patient that just wants an eval., even though their symptoms indicate that they need a root canal. Use of the proper verbal skills can get this patient into a treatment slot where they need to be and can save you an unnecessary "evaluation only" appointment.
How to handle various insurance questions that patients ask. Your patients don't understand their insurance coverage. Answer their questions without feeling like you need to apologize to them because of their coverage or lack of it.
How to sell the benefits of Endodontics to a reluctant patient. Stop losing potential patients to extraction because they don't understand the benefits of Endodontics. Your staff must be armed to sell these benefits. The patient can be lost on the initial phone call and never make it to the operatory where you, the doctor, can personally talk to them.
How to overcome complaints about your fees. If patients understand what they are really paying for they more readily accept the fee they are charged.
Verbiage to help the nervous patient without negating their fears. The patient doesn't want to hear, "Don't worry!" They are worried!!!
Questions to ask when calling on a patient's insurance coverage. Asking the right questions minimizes the need to send out statements to collect after the fact.
Dealing with the "What if" or "What do I do if" situations. It's all in using the right verbal skills and having the right scheduling tools in place. A front staff that handles these situations correctly can save an Endodontic practice thousands of dollars in potentially lost production.
Terminology that you should and should not use in an Endodontic practice. Small changes in wording make your office a softer place for your patients, making their experience a more pleasant one and differentiating your office from the rest.
